PROJECT NAME:

Choose your project name. Max 35 characters and it needs to be unique.  You must use the exact " project name"  for every upload and resubmittal throughout the review process. (Some agencies will provide the project name)

Reason: The "project name" is the key identifier for your project.  Files are named using the project name and will not version properly and will be misplaced if  the  "project name" is changed mid-project.

CREATE SEPARATE DRAWING FILES FOR EACH SECTION:

Create a new PDF pdficon file for each section of the plan.  i.e.  Architectural , Structural, Mechanical, Plumbing, Electrical, Fire, Civil, Landscaping, Calculations, Georeports, etc.   No files larger than 50 megabytes.

Drop-down choices of section types are provided on submittal site.  Do not use the same drop-down section type more than once.   Use the next best choice and continue to use that choice for that file throughout the project.

Reason: Uploaded files are renamed using a combination of the project name and drop-down name.  Each drop-down choice must be unique.

Note:
1.  Files with over 35+/- drawing pages can be cumbersome for a reviewer when scrolling through your plans.
2.  There are several PDF utilities available on the internet,  some free and some almost free, that are helpful for merging, splitting and optimizing PDF files.   One such site is  http://www.a-pdf.com/index.htm.   You can download free trials from the A-PDF site.

Possible exceptions to the rule: Small plan sets,  such as some residential and remodels,  can sometimes be  combined into one (1) file.   Check with the agency if you are unsure.

ROTATE PDF DRAWINGS TO LANDSCAPE VIEW:

When creating a drawing file for the municipality/agency, make sure that the reviewer will not be required to rotate your files to do the review.  (The reviewer will generally request a resubmittal)

RESUBMITTAL GUIDELINES:

DIRECTIONS FOR RESUBMITTING A REVISED FILE:

When resubmitting a file or files to an existing project always use the exact "project name" and drop-down name(s) you used during the original submittal. (if you forget, you can always find the "project name"  and dropdown names on the upload confirmation email you received from Spacedox).

Reason: The "project name" is the key identifier for your project.  Files will be misplaced if the "project name" is changed mid-project.

When resubmitting a revised file  you must include ALL the pages that were in the original file----NOT just the changed or new pages.

1. Changed page(s) directions: (pages included in original file)
Remove old page(s) and insert the changed page(s) in the appropriate order in the revised file.

2. New page(s) directions: (pages added to the original file)
Add any new page(s) to the end of the revised file.

Reason: Reviewers must be able to quickly compare file pages from one file version to another and a complete drawing file is necessary to expedite this capability.  Example: If a certain drawing was page 5 on the first submittal is must be page 5 on all the other submittals.

WHAT USERS SAY

"...it really works great (regarding the compare feature)...Yes it was awesome!  I’ve been showing it off to some of the other departments... the reviewers...  The overlay with the fade in and out between the two documents is a great tool.  These plans have a large shopping center parking lot and I found a half dozen handicap parking stalls that had been deleted in various locations that weren’t identified as changes.  We never would have caught all of them otherwise."
